With the External Media Link feature enabled, you can enter a link to external media on an event's Event Details page and have it appear on the Meeting Media tab on the Public Portal.
If a YouTube link is detected, the video will be embedded directly into the Meeting Media tab on the Public Portal. Viewers will still be able to continue through to YouTube directly by clicking the "Watch on YouTube" button at the bottom of the player.
This article will show you how to link external media to an event when the External Media Link feature is enabled.
Important Notes
- Contact Support to enable the External Media Link feature.
- The External Media Link feature can be enabled for all accounts with access to the Events module, including those without CivicPlus Media.
- The External Media URL (Uniform Resource Locator) field only accepts a single link.
- Externally linked media does not appear in the Board Portal at this time.
- If linking to YouTube, ensure the URL is for a single video rather than a playlist. Playlist links will result in a YouTube connection error.
Instructions
- Sign in to the system if you have not already
- Navigate to the Events module
- Select the event you wish to link external media to
- Navigate to the Event Options section
- Paste or type the desired media URL (Uniform Resource Locator) into the External Media URL field
- Edit the Published status for the event, if necessary
- Not Published: This will not publish the Event
- Published: This will publish the Event immediately after you save

Publish on Date: Will publish automatically on a specified later date
Note: You can click the calendar icon to select an automatic publishing date.
- Enter or update the other event details as necessary
- Click the Save Changes button
- The external media link has been added, and the media link or embed will appear on the event's Public Portal Meeting Media tab
