This article will show you how to use Closed Captioning (CC) Services on Event Templates.
There are four ways to use Closed Captioning Services:
- No Closed Captioning Services Requested: Do not use Closed Captioning
- Request Live Closed Captioning: Use Closed Captioning on a Live Event
- Request Transcriptionist Closed Captioning: A real transcriptionist will perform captioning
- Note: This option results in higher accuracy, but will have a longer turn-around time. It may take up to 4 business days to receive the Closed Captioning, depending on the length of the meeting.
- Request Machine Closed Captioning: An automated process that adds closed captioning
- Note: This option results in slightly lower accuracy, but will have a short turn-around time. Generally, you will receive Closed Captions within double the length of the meeting. For example, if your meeting is 2 hours, you will receive Closed Captioning within 4 hours of processing. Contact Support if the transcription is taking a couple of days.
For Request Transcriptionist and Request Machine Closed Captioning, there are two ways to apply Closed Captioning:
- Prerecorded Media: If you already have media within your event, Closed Captioning will start processing as soon as you click Save.
- No Recorded Media: If you have not yet recorded your event, Closed Captioning will start processing as soon as you upload Media into your event.
Important Note
- If closed captioning services are selected, CivicPlus automatically bills every month for any services rendered the previous month.
Instructions
- Navigate to the User Menu > Settings
- Select Events & Public Portal
- Select Events
- Select Edit (purple pencil icon) next to your desired Event Template
- If the services are correctly activated, you should view Type, CC Services, and Closed Caption As Of Date; configure settings as desired
- Type: Always remain on On-Demand, even if you have a Live Stream event
- CC Services: Select your service type
- None: Do not use Closed Captioning
- Machine: An automated process that adds closed captioning
- Note: This option results in slightly lower accuracy, but will have a short turn-around time. Generally, you will receive Closed Captions within double the length of the meeting. For example, if your meeting is 2 hours, you will receive Closed Captioning within 4 hours of processing. Contact Support if the transcription is taking a couple of days.
- Transcriptionist: A real transcriptionist will perform captioning
- Note: This option results in higher accuracy, but will have a longer turn-around time. It may take up to 4 business days to receive the Closed Captioning, depending on the length of the meeting.
- Closed Caption As of Date: Choose to transcribe all future events or events from the past as well
- Future Events: Set the date as today's date to transcribe all future events or set a date in the future to automatically begin transcription services
- Past Events: Set the date in the past to retroactively apply transcription services to past events; cannot utilize Live Closed Caption
- Click Save Event Template
- View and click Continue on the pop-up that states Closed Captions will be generated for events with videos from As of Date. Do you want to proceed?
- Important Note: If you indicate that you want to caption past dates, you may have several caption charges, depending on the volume of meetings that you have. If you indicate future events, once there is media available on the event, the transcribing will automatically and immediately begin working, and you will be charged.
