This article will show you how to approve Speaking Rights and/or manually grant Speaking Rights.
Board Members can request Speaking Rights during a meeting.
Instructions
- Navigate to the Meetings module
- Select the Agenda you want to start
- Select Go to Minutes
- Ensure that Allow Board Members to Join is checked to allow members to join and request speaking requests
- Navigate to View > Minutes Summary
- If there is a request, there will be a Speaker Icon next to the current item; select the icon
- Note: If the item is not current, select Set Current
- Note: If the item is not current, select Set Current
- View the requests and select an option
- Edit: Select to edit information or click Remove Speaker or the X icon to deny speaking request
- Delete: Select the trashcan icon to delete the speaker and remove the request
- Note: This option is not available after you select Call
- Call: Start the duration time; grants speaking request
- Note: Default duration is 3 minutes.
- Reset Timer: Reset the speaker's duration time
- Add Time: Give the speaker additional time
- Pause: Pause the speaker's time
- Resume: Resume the speaker's time
- Resume: Resume the speaker's time
- End: Select to end the speaker's time early
- Edit: Select to edit information or click Remove Speaker or the X icon to deny speaking request
- When you grant time, a Time Left timer will appear on your Clerk-view screen
- Note: Timer will turn red when only there are 30 seconds remaining
